Duties Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Manage multi\-line phone systems efficiently, directing calls and taking messages with professionalism and courtesy. Maintain accurate records through data entry, filing, and updating spreadsheets using Microsoft Office, Google Workspace, and other productivity tools. Handle office management tasks such as scheduling appointments, calendar management, and organizing meetings. Provide customer support by answering inquiries promptly via phone or email, offering helpful information or assistance. Perform clerical duties including proofreading documents, managing correspondence, and maintaining filing systems. Support bookkeeping activities using QuickBooks or similar software to assist with basic financial recordkeeping. Assist with office supplies inventory management and ensure the front desk area remains organized and welcoming. Qualifications Proven experience in office administration or reception roles with strong clerical skills. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry. Strong organizational skills with the ability to multitask efficiently in a busy environment. Exceptional customer service skills coupled with professional phone etiquette and clear communication abilities. Bilingual capabilities are highly desirable to serve diverse client needs effectively. Experience with multi\-line phone systems, front desk operations, and calendar management is preferred. Knowledge of office management procedures including filing systems, proofreading, and document preparation. Technical proficiency in office software such as QuickBooks for bookkeeping tasks is advantageous. Ability to handle sensitive information discreetly while demonstrating excellent time management skills.
