Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our surgical office environment. This vital role ensures smooth administrative workflows, excellent customer service, and effective office management. The ideal candidate will be proactive, detail\-oriented, and possess strong communication skills to support our team and visitors alike. Medical billing, pre\-authorization skills set a plus. In this role, you will be the backbone of our office, fostering a welcoming atmosphere while maintaining efficient processes that keep everything running seamlessly.
Responsibilities
- Oversee front desk operations, greeting visitors and managing multi\-line phone systems with professionalism and courtesy
- Coordinate calendar management and scheduling for staff, meetings, and appointments using Microsoft Office and Google Workspace tools
- Handle clerical duties such as data entry, filing, proofreading, and maintaining accurate records to support office functions. Medical and surgical coordinator would be ideal.
- Be open to use AI Healthcare support.
- Manage office supplies inventory, place orders as needed, and ensure the workspace remains organized and functional
- Provide exceptional customer service by assisting clients, vendors, and team members with inquiries and support requests
- Perform bookkeeping tasks using QuickBooks or similar software to track expenses and manage basic financial records
- Support administrative tasks including typing correspondence, managing emails, and supporting personal assistant duties as required
- Proven office management experience or administrative support background in a fast\-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
- Experience working with multi\-line phone systems and phone etiquette to handle high call volumes effectively
- Bilingual abilities are highly desirable to assist diverse client needs and enhance communication within the team
- Previous clerical experience including filing, proofreading, calendar management, and customer support is essential
- Knowledge of bookkeeping software such as QuickBooks or similar platforms is preferred
- Excellent organizational skills with the ability to prioritize tasks efficiently while managing time effectively
