Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression of the organization
  • Manage multi\-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry tasks with high accuracy using Microsoft Office, Google Workspace, and other office software
  • Support office management duties such as scheduling appointments, calendar management, and coordinating meetings
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support basic financial recordkeeping
  • Provide exceptional customer service by addressing inquiries promptly and courteously
  • Conduct proofreading of documents to ensure clarity, accuracy, and professionalism
  • Support administrative projects as needed, including copying, scanning, and organizing office supplies
  • Requirements

  • Proven clerical or administrative experience in an office environment with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and general computer literacy
  • Experience with multi\-line phone systems and excellent phone etiquette skills
  • Ability to perform data entry accurately with fast typing skills
  • Knowledge of QuickBooks or similar bookkeeping software is a plus
  • Bilingual abilities are highly desirable to serve diverse clientele effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a busy setting
  • Excellent proofreading skills to ensure error\-free documents
  • Previous experience in customer support or front desk roles preferred
  • Personal assistant experience or calendar management skills are advantageous
