Job Overview
We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative functions, maintains efficient communication channels, and supports the overall productivity of our team. Duties
- Manage front desk operations, including greeting visitors, answering multi\-line phone systems, and providing excellent customer service
- Manage A/P, Billing, A/R and other booking keeping needs. Oversee scheduling for jobs as well as T\&M invoicing.
- Handle data entry, filing, proofreading, and general clerical tasks to maintain accurate records and documentation
- Coordinate office supplies procurement, inventory management, and equipment maintenance to ensure operational efficiency
- Support bookkeeping activities using QuickBooks or similar accounting software for basic financial record\-keeping
- Assist with correspondence management, and task prioritization, month\-end close tasks
- Provide customer support by addressing inquiries promptly and professionally while maintaining phone etiquette and organizational skills
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or other bookkeeping software is preferred
- Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment
- Payroll processing, AIA processing experience preferred
- Experience with front desk responsibilities, multi\-line phone systems, and customer service excellence
- Knowledge of office procedures such as filing systems, data entry, proofreading, and calendar management
- Personal assistant or medical/dental receptionist experience is a plus but not required
- Demonstrated ability to manage time efficiently while maintaining attention to detail in all tasks
