Job Overview

We are seeking a detail\-oriented and proactive Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office by providing administrative support to various departments. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to delivering exceptional customer service. This position requires proficiency in various office software and the ability to manage multiple tasks efficiently.

Duties

  • Assist in front desk operations, including greeting visitors and handling inquiries professionally.
  • Ensuring effective communication with clients and staff.
  • Provide clerical support, including data entry, filing, and document management.
  • Maintain organized records and assist with bookkeeping tasks as needed.
  • Utilize QuickBooks for basic financial tracking and reporting.
  • Assist in calendar management, scheduling appointments, and coordinating meetings.
  • Proofread documents for accuracy and clarity before distribution.
  • Support customer service efforts by addressing client needs promptly and effectively.
  • Collaborate with team members to improve office management processes and enhance workflow efficiency.
  • Use Microsoft Office Suite and Google Workspace for document creation, presentations, and spreadsheets.

  • Experience

  • Previous administrative experience is preferred
  • Familiarity with construction distribution duties is a plus.
  • Bilingual candidates are encouraged to apply as communication with diverse clients is valued.
