Responsibilities

  • Greet visitors and clients warmly, ensuring they feel comfortable and valued upon arrival
  • Manage phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with promptness and accuracy
  • Maintain organized filing systems, data entry records, and ensure all documentation is up\-to\-date and error\-free
  • Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including proofreading documents, preparing reports, and managing office supplies
  • Provide customer support by addressing questions or concerns promptly and courteously
  • Use computer literacy skills to navigate Microsoft Office Suite, Google Workspace, and other relevant tools effectively
  • Support administrative functions like photocopying, faxing, scanning, and maintaining organized files

  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with keen attention to detail for proofreading and data entry tasks
  • Effective communication skills in both English and bilingual settings to serve diverse clients and visitors
  • Experience with multi\-line phone systems and phone etiquette to handle high call volumes professionally
  • Office management experience including calendar management, filing systems, and clerical support
  • Knowledge of QuickBooks for bookkeeping tasks is preferred but not required
  • Ability to prioritize tasks efficiently with strong time management skills
  • Customer service orientation with a friendly demeanor and professional attitude
  • Previous experience as a medical or dental receptionist or personal assistant is a plus but not mandatory
  • Familiarity with office equipment such as fax machines, scanners, printers, and telephony systems
