Responsibilities

  • Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements with precision using tools like Microsoft Outlook Calendar and Google Workspace.
  • Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and professionalism.
  • Coordinate projects by tracking deadlines, organizing resources, and ensuring timely completion through effective communication with team members.
  • Handle incoming calls with excellent phone etiquette, direct inquiries appropriately, and manage multi\-line phone systems efficiently.
  • Organize meetings by preparing agendas, taking detailed minutes, and distributing follow\-up action items.
  • Oversee office management tasks including filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Provide personal assistant support to executives by managing confidential information, arranging personal appointments, and assisting with special projects as needed.
  • Skills

  • Proven experience in executive administrative support or office management roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
  • Excellent typing speed combined with transcription and proofreading abilities for accurate document preparation.
  • Familiarity with QuickBooks for bookkeeping tasks and DocuSign for electronic signatures.
  • Strong project coordination skills to manage multiple priorities simultaneously.
  • Exceptional customer service skills paired with professional phone etiquette on multi\-line phone systems.
