Job Summary
We are seeking an initiative\-taking and detail\-oriented Office Support Assistant to join our dynamic team! This is an entry\-level office position. We are looking for the perfect fit with someone who will meet our current needs and can be groomed for long\-term promotion potential. Over\-qualified applicants need not apply.
Hours are M\-F, 9am\-4pm with an hour lunch (30 hours per week) with some flexible negotiation. Your ability to cover other personnel in their absence is expected when needed. To qualify for future company benefits, a minimum of 30 hours per week is required.
Duties
- Customer service with professional phone etiquette and staff support skills, by answering inquiries and routing calls efficiently
- Perform accurate data entry using our Dealer Management System
- Use Company Email, Google Workspace, basic Excel, and occasional Word
- Process daily deposits, mail distribution, and filing
- Manage Accounts Payable duties, including data entry of all payable invoices and receipts, perform reconciliations, and maintain accurate tax information for 1099 vendors
- Prepare monthly Accounts Receivable statements, make follow\-up calls for past due accounts, and manage tax\-exempt account information
- Stock in vehicles and process related paperwork
- Prepare, process, and book wholesaled and dealer traded vehicles, and assign titles to buyers
- Administer orders and organization of office and janitorial supplies
- Administer phone system settings for users, extension assignments, and voicemail access
- Administer distribution of various company owned property
- Assist in maintaining accurate staff attendance records
- Maintain consistent organization and neatness of public areas, files, and storage
- Learn other office duties, data entry, and bookkeeping, to assist and create teamwork coverage in the office for cross\-trained abilities to ensure business continuity during the absence of others
- High school diploma or equivalent
