Overview
I am seeking a professional, skilled and motivated Office Manager \& Executive Assistant to support a couple of businesses I am building in the Eugene/Springfield area. The first project is the renovation of TreeTops (the former Chancellor’s residence) in to a premier Event, Meeting and VIP Bed \& Breakfast facility which I will operate in partnership with the University of Oregon. The second project involves the launch of a professional sports business (TBA). In addition to that, I am engaged in a variety of other business activities where I’ve decided I need executive support (which will include basic accounting, AP, and AR capability). The ideal candidate will be a strong communicator and collaborator who takes initiative and can project manage moderately complex tasks to successful completion. The candidate will thrive on multi\-tasking and achieving results that delight customers and help my businesses succeed. This position offers an exciting opportunity to launch a couple businesses that should become integral to the community, while providing Exec Assistant support for the rest of my business activities (which are outside of Eugene.
Duties
- Oversee daily office operations, including front desk management, filing, and clerical tasks to maintain an organized workspace
- Manage calendar scheduling for executives, coordinate meetings, appointments, and conference calls using multi\-line phone systems and digital tools
- Handle vendor management by sourcing, negotiating, and maintaining relationships with suppliers and service providers
- Support human resources functions such as onboarding, training \& development, payroll processing using QuickBooks or similar software, and maintaining employee records
- Assist with event planning for company meetings, workshops, and special events to ensure successful execution from logistics to follow\-up
- Supervise administrative staff (as we grow the team) and provide training to foster a productive team environment
- Manage office supplies inventory, perform bookkeeping duties, and assist with budgeting processes to optimize resource allocation
- Facilitate communication across departments through effective email correspondence and phone etiquette while ensuring timely responses
- Proven experience in office management, administrative support, or executive assistance with strong organizational skills
- Demonstrated supervising experience with the ability to lead and motivate team members effectively
- Proficiency in QuickBooks for payroll, bookkeeping, and budgeting tasks; familiarity with human resources processes is a plus
- Expertise in event planning, vendor management, and calendar management tools to coordinate multiple priorities efficiently
- Strong communication skills—both verbal and written—and excellent phone etiquette for interacting professionally with clients, vendors, and team members
- Experience managing medical or healthcare office environments is advantageous but not required
- Ability to handle multitasking seamlessly while maintaining attention to detail in filing, record keeping, and clerical duties
