Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi\-line phone systems, and directing calls with professional phone etiquette
  • Handle data entry tasks accurately using computer skills, including Microsoft Office and Google Workspace applications
  • Maintain organized filing systems—both digital and physical—and ensure documents are properly proofread and stored
  • Support office management by coordinating calendar appointments, scheduling meetings, and managing calendar updates efficiently
  • Assist with bookkeeping activities using QuickBooks or similar software to track expenses and invoices
  • Provide excellent customer support by addressing inquiries promptly and courteously, whether in person or via phone or email
  • Perform clerical tasks such as photocopying, faxing, mailing, and managing office supplies to keep the workspace well\-stocked and functional
  • Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Experience with multi\-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills along with data entry and proofreading capabilities
  • Knowledge of office management practices including filing systems, calendar management, and general administrative procedures
  • Prior experience in customer service or as a receptionist—preferably in medical or dental settings—is a plus
  • Familiarity with bookkeeping software such as QuickBooks or similar programs is advantageous
  • Excellent time management skills to prioritize tasks efficiently in a busy environment
