Job Summary

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This energetic role is vital in creating a welcoming environment for visitors and clients of a 55\+ community while ensuring smooth office operations. The ideal candidate will be proactive, detail\-oriented, and possess excellent communication skills. You will handle front desk responsibilities, manage administrative tasks, and support various office functions to keep our workplace efficient and professional. This paid position offers an exciting opportunity to develop your administrative expertise in a vibrant setting.

Full time

Monday \- Friday

8:00am \- 4:00pm

Duties

  • Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression
  • Manage multi\-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming correspondence, including emails, mail, and deliveries, with prompt attention
  • Maintain organized filing systems—both physical and digital—ensuring easy access to documents
  • Assist with data entry, proofreading, and document preparation using Microsoft Office and Google Workspace tools
  • Support office management tasks such as calendar management, appointment scheduling, and event coordination
  • Perform clerical duties including copying, scanning, faxing, and maintaining office supplies inventory
  • Provide exceptional customer service by supporting client inquiries and addressing needs efficiently
  • Support bookkeeping activities using QuickBooks or similar accounting software as needed
  • Ensure the front desk area remains tidy and welcoming at all times
  • Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy with proficiency in
  • Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace

  • Familiarity with multi\-line phone systems and professional phone etiquette
  • Bilingual abilities are highly valued to assist diverse clientele effectively
  • Strong data entry skills with high accuracy; typing speed is a plus
  • Knowledge of office management procedures including filing systems and calendar management
  • Experience in customer support or customer service roles that require active listening and problem\-solving skills
  • Ability to proofread documents carefully for accuracy and clarity
  • Experience with medical or dental receptionist duties is advantageous but not required
  • Personal assistant or healthcare receptionist experience is a plus for supporting specialized needs
