Overview

We are seeking a reliable and detail\-oriented Reception / Administrative Assistant to support our growing engineering firm. In this key role, you will serve as the first point of contact for clients, vendors, and visitors while providing essential administrative support to our office and project teams.

The ideal candidate is highly organized, proactive, and comfortable managing a variety of office responsibilities in a fast\-paced, professional environment. Responsibilities

  • Welcome visitors and manage incoming calls with professionalism, ensuring a positive first impression for clients and partners.
  • Answer and direct calls using a multi\-line phone system with excellent phone etiquette.
  • Coordinate schedules, appointments, and meetings using
  • Microsoft Outlook Calendar.

  • Provide administrative support to engineering and management staff, including correspondence, document preparation, and report formatting.
  • Assist with project\-related coordination tasks such as organizing files, tracking action items, and supporting internal communications.
  • Perform data entry, filing, and proofreading of documents to maintain accuracy and organization across office records.
  • Support general office functions, including invoicing assistance, expense tracking, and record maintenance.
  • Help manage office operations, including supply ordering, maintaining organized filing systems, and overseeing front desk activities.
  • Assist with occasional event or meeting logistics, including preparation of materials and coordination of details.
  • Experience \& Qualifications

  • Previous administrative or receptionist experience in an office or professional services environment preferred.
  • Strong customer service skills with the ability to communicate professionally with clients and staff.
  • Proficiency in
  • Microsoft Office Suite (Word, Excel, PowerPoint).

  • Experience with project coordination, data entry, document control, or general administrative support is a plus.
  • Excellent organizational skills with the ability to manage multiple priorities and maintain attention to detail.
  • Strong written and verbal communication skills, including confident handling of multi\-line phone systems.

Pay: From $35\.00 per hour
