Duties

  • Manage front desk operations, including greeting visitors, answering multi\-line phone systems, and directing calls with professional phone etiquette
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization of all office records
  • Coordinate calendar management and schedule appointments for team members or executives
  • Support bookkeeping activities using QuickBooks or similar accounting software to maintain financial records
  • Assist with office management tasks such as supply ordering, equipment maintenance, and space organization
  • Provide customer support and respond promptly to inquiries via phone or email, ensuring excellent service delivery
  • Perform clerical duties including typing, document preparation, and managing Google Workspace applications (Docs, Sheets, Calendar)
  • Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with QuickBooks or other bookkeeping software is preferred
  • Excellent communication skills, including bilingual abilities (Spanish/English) are a plus
  • Strong phone etiquette and experience managing multi\-line phone systems
  • Demonstrated ability in data entry, filing, proofreading, and time management
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous
  • Ability to handle multiple tasks efficiently while maintaining attention to detail and professionalism
