The Role (Read This Carefully)

This is not a typical admin role.

You will act as the operational backbone of the business—owning workflows, managing moving pieces, and making sure nothing breaks.

You’ll work directly with leadership and be trusted to figure things out, move fast, and execute without constant oversight.

If you need step\-by\-step direction for everything, this is not the role for you.

What You’ll Own

Execution \& Operations

  • Keep projects, timelines, and priorities moving without being asked.
  • Identify gaps, fix inefficiencies, and improve how we operate.
  • Order Management (End\-to\-End Ownership)

  • Run orders from quote → production → delivery
  • Coordinate with vendors (domestic \+ overseas)
  • Anticipate delays and solve problems before they escalate
  • Maintain clean, accurate tracking across all orders
  • Product Sourcing \& Vendor Strategy

  • Find better products, better suppliers, and better pricing
  • Build relationships with vendors and negotiate effectively
  • Stay ahead of trends and bring new ideas proactively
  • Pricing, Quotes \& Margins

  • Build pricing using structured margins
  • Create clean, accurate, client\-ready quotes
  • Protect margins while staying competitive
  • Client\-Facing Materials

  • Create mockups and presentations that look polished and professional
  • Translate ideas into clear, visual deliverables

  • You are
  • extremely organized independent thinker who doesn’t drop details

  • You take ownership—if something breaks, you fix it
  • You move fast and don’t need constant follow\-up
  • You communicate clearly, professionally, and proactively
  • You’re comfortable operating in a fast\-moving, sometimes ambiguous environment
  • You care about doing things right, not just getting them done
  • Strong Advantage If You Have

  • Experience in
  • promotional products, decorated merchandise, or apparel

  • Experience working with
  • vendors, sourcing, or supply chain

  • Proficiency in
  • Adobe Creative Cloud (Illustrator/Photoshop)

  • Experience in
  • Wordpress/WooCommerce

  • Understanding of
  • printing methods (screenprint, embroidery, digital etc.)

  • Experience with
  • Monday.com

    Scenario:

    Our client wants 250 custom branded tumblers delivered in 3 weeks for an Leadership Meeting. They care about high quality, fast turnaround, and clean branding.

    1\. Product Recommendation

  • Suggest one tumbler option (brand/type/style)
  • Briefly explain why you chose it (quality, timing, price, etc.)
  • 2\. Execution Plan

  • Outline the steps you would take from order → delivery
  • Include vendors, timeline, and any risks you’d plan for
  • 3\. Pricing Approach

  • Provide a rough cost estimate and how you would price it using a margin (you can make reasonable assumptions)
  • 4\. Client Communication

    Write a short message (3–5 sentences) updating the client with your recommendation and next steps
