A Houston\-based artist is hiring a part\-time Executive Assistant / Operations Lead who wants to eventually move into a Chief of Staff position, supporting all businesses. The businesses in the portfolio are:
- Liquid n Lights (LNL)— interactive, custom\-designed consumable art installations for events
- Portable Gallery Walls (PGW) — rentable walls \+ lighting that elevate how galas and events
- Justin Garcia Art — International artist who also engages in non\-profit work and speaking engagements
- Are a problem\-solver who takes initiative without waiting to be asked.
- Wants the possibility of long\-term growth potential (Chief of Staff track).
- Brings strong desire to support and be a part of the operational growth of a business.
- Enjoys working in a fast\-moving, creative business—but brings structure, clarity, follow\-through, and accountability.
- Is comfortable with client communication and sales.
- Manage calendar, scheduling, priorities, and follow\-ups
- Coordinate travel, speaking engagements, and personal logistics (as agreed)
- Keep inbox/messages organized; ensure nothing important slips
- Taking over project management and tracking
- Respond to inbound leads and manage client communication (timely, professional, friendly)
- Schedule intro calls, manage proposals/quotes, track pipeline and next steps so opportunities don’t stall
- Outreach to new clients and prospects (commission opportunities available)
- Invoicing and payment follow\-up
- Bookkeeping (QuickBooks experience is a plus, not required)
- Maintain systems and files; create/upgrade checklists and SOPs
- Coordinate staffing/contractors for installs and events (scheduling, confirmations, run\-of\-show)
- Comfort learning new systems. Currently in place: Google Workspace, Goodshuffle, QuickBooks, PartySlate, Instagram, LinkedIn)
- Schedule/post simple social content and coordinate assets/captions as needed
- Keep consistency—execution and follow\-through matter more than “creative direction”
- Weekly planning and prioritization with Justin
- Project management across multiple clients, both business and art commitments
- Process building \+ operational ownership
- Hiring and management of small team
- Helping shape how the businesses scale (and taking real ownership of outcomes)
- Proven experience running point on details (EA, ops, project coordination, studio manager, event production, small business admin—any of these can fit).
- High initiative \+ strong problem\-solving: extreme organization \+ follow\-through
- Comfort with ambiguity and speed—this is a growing business, not a big\-company lane.
- Confident communicator with clients (written \+ verbal)
- Tech fluency (Google Workspace, spreadsheets) and ability to quickly learn new system
- Comfortable with basic numbers/admin (invoicing, tracking, follow\-ups)
- Fluent in both English, conversational Spanish is desired
- Experience in start\-up businesses, small\-businesses, or in the art world
- Sales mindset or experience (or the desire to build this skill)
- Event production, hospitality, or creative business experience
- QuickBooks familiarity
- Experience building simple systems
- Calendar and projects feel calmer and more structured
- Leads are tracked; follow\-ups happen; fewer opportunities slip away
- Invoicing and admin are consistent and reliable
- Assumes the duties of a weekly check\-in cadence and drives the goals and priorities

Our goal is to grow this person into a Chief of Staff—a true right hand who helps run day\-to\-day operations in both businesses, keeps projects moving, builds systems that allow the business to scale, and eventually supports the artist's multi\-pronged career (art, speaking engagements, foundation).
This role is ideal for someone who wants to find a home, grow with a founder, and stay in a role that expands in scope over time.

Time Commitment
Part\-time 20 hours/week to start; longer\-term we are looking to quickly shift into a full\-time role and Chief of Staff (in the next year). This role is flexible in working hours, but consistency and immediate responses are sometimes required for events.
