Overview
We are seeking a dedicated and detail\-oriented Office Assistant to join our team. The ideal candidate will possess strong organizational skills and the ability to manage multiple tasks efficiently in a fast\-paced environment. This role is essential in ensuring smooth office operations and providing exceptional customer service. The Office Assistant will be responsible for a variety of administrative tasks, contributing to the overall effectiveness of our office.
Responsibilities
- Manage front desk operations, greeting visitors and handling inquiries with professionalism.
- Operate multi\-line phone systems, ensuring effective communication and phone etiquette.
- Perform data entry tasks accurately and efficiently, maintaining organized records.
- Assist with filing, proofreading documents, and managing office correspondence.
- Utilize Microsoft Office and Google Workspace for document creation, spreadsheet management, and presentations.
- Support calendar management by scheduling appointments and coordinating meetings.
- Provide customer support through effective communication, addressing client needs promptly.
- Assist with bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
- Maintain an organized office environment, ensuring supplies are stocked and equipment is functional.
- Collaborate with team members to improve office processes and enhance overall productivity.
- Previous office experience or administrative experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Strong computer skills with the ability to learn new software quickly; familiarity with QuickBooks is a plus.
- Excellent organizational skills with a keen attention to detail and time management abilities.
- Bilingual candidates are highly desirable to assist diverse clientele effectively.
- Experience in customer service roles with a focus on providing exceptional support.
- Knowledge of clerical duties such as filing, typing, and managing correspondence is essential.
- Prior experience as a dental receptionist or medical receptionist is advantageous but not mandatory.
