Job Summary: Responsible for office management and day\-to\-day operations of the practice. Performs administrative duties. Assists the Marathon Medical Clinical Leadership and management with department responsibilities. Participates in performance improvement and continuous quality improvement (CQI) activities. DUTIES AND RESPONSIBILITIES: Demonstrates Competency in the Following Areas: Provides administrative support to ensure efficient office operations. Demonstrates the ability to perform secretarial duties, i.e., typing, dictation, correspondence, preparing reports, faxing, memos. Validate payment methods. Validate medical insurance coverage, benefits and eligibility. Maintains physical and digital HIPPA compliant systems, filing, marketing, and social media platforms. Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists patients and other visitors in the office and on the virtual platform. Responds to emails, queriers and correspondences in a timely, accurate and professional manner. Manages medical staff and leadership schedules / calendars. Drafts and edits letters, reports, and other documents. Inputs and updates information in databases, spreadsheets, and media platforms. Coordinates logistics for meetings, including room setup and catering as needed. Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand. Research as requested complies and summarizes information for presentations. Working closely with other administrative staff and supporting other colleagues as needed. Works with sensitive information with discretion to maintain confidentiality, security and ensure compliance with privacy policies and regulations. Ensure that deadlines are met and able to adapt to changing priorities. Presents a positive and professional image for the practice. Professional Requirements: Associate degree at minimum. Adheres to dress code; appearance is neat and professional. Completes annual educational requirements. Maintains regulatory requirements. Wears identification while on duty. Attends annual review. Reports to work on time and as scheduled; completes work in designated time. Attends committee, performance improvement and continuous quality improvement meetings as appropriate. Communicates the mission, ethics, and goals of the practice. Three to five years’ experience in an administrative healthcare work environment Marketing / social media is a benefit Skills: Ability to read, write and communicate effectively in English. Additional languages are a benefit, but not required. Digital literacy and research skills, including ability to analyze the reliability of information. Experience with electronic medical records systems, knowledge of eClinicalWorks (ECW) is a plus. Experience verifying health insurance eligibility and benefits. Familiarity with office platforms, such as Microsoft Office Suite and Outlook. Data management and entry skills, including the ability to maintain digital filing systems. Accurate and efficient record keeping. Time management, multitasking and flexibility in a faster\-paced environment. Strong interpersonal skills, professional and courteous demeanor, excellent phone etiquette, and the ability to diffuse tense situations. Ability to work well independently and in collaboration with others.
