    The Opportunity

    WSF, a division of WSDOT, is currently seeking a professional and customer\-focused Secretary to serve as an important first point of contact for the public and internal customers of Washington State Ferries. This role helps ensure efficient daily operations by providing reception and administrative support that keeps business functions running smoothly. As a key member of the team, this position contributes to safe, reliable ferry service by supporting employees and customers with responsive, high\-quality service.     What to Expect

    Among the varied range of responsibilities held within this role, you/the Secretary will:

  • Serve as first point of contact for the 2901 building by greeting visitors, issuing passes, tracking parking, and directing arrivals to WSF departments.
  • Answer the WSF multi\-line phone system, route calls, and relay messages.
  • Badge visitors and provide backup support for employee badges, travel passes, and union parking passes.
  • Coordinate maintenance and repair of departmental motor pool vehicles, including scheduling service and transporting vehicles as needed.
  • Collect and maintain vehicle mileage logs, fuel receipts, and related records.
  • Order, receive, organize, and maintain office equipment, furniture, supplies, and printer inventory for Finance \& Administration.
  • Manage reservations for visitor parking, motor pool vehicles, and conference rooms, ensuring policy compliance and resolving conflicts.
  • Cross\-train with the Mail Clerk and department timekeeper to provide backup coverage during absences.
  • Uphold WSF’s strategic priorities (Service Excellence, Improved Communication, and Empowered People) and values (Serve, Grow, Trust, Respect, and Navigate), ensuring they are embedded in WSF’s culture through leadership actions.
  • Qualifications

    To be considered for this opportunity, the following are required:

    * Technical Proficiency \- Use Microsoft Office applications (Excel, Outlook, Teams) at a basic level to create, edit, and share documents, spreadsheets, and communications.

    * Data Entry \& Information Systems \- Accurately enter, retrieve, and update information using a variety of agency computer systems.

    * Independence \& Initiative \- Work with minimal supervision, taking responsibility for completing tasks and proactively identifying opportunities to improve processes.

    * Growth Mindset – Actively demonstrates a commitment to learning and growth.

    * Service\-Oriented – Demonstrates a willingness to take action to meet the needs of others.

    It is preferred that qualified candidates also have:

  • Knowledge of reception duties in an environment with public contact.
  • Knowledge of WSDOT/WSF practices and procedures
  • Knowledge of Symmetry, Galaxy, MSRE software systems.
  • Ability to maintain reliable, dependable work schedule in person at WSF 2901 3rd Ave, Seattle building.

  • This position is not eligible for remote work.
  • In addition to base salary, employees may be entitled to other forms of compensation depending on the type, duties, or location of the position. For union\-represented positions, more information on other forms of compensation can be found in the applicable Collective Bargaining Agreements. Information on other compensation types for non\-represented positions can be found in Chapter 357\-28of the Washington Administrative Code.
