Job Summary

We are seeking a highly organized, motivated, and energetic Receptionist/Administrative Assistant to join our team! This role is essential in providing excellent customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will be proficient in handling front desk responsibilities, managing multi\-line phone systems, and assisting with various clerical tasks. Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression of the company.
  • Manage multi\-line phone systems, directing calls appropriately and responding to inquiries with professionalism.
  • Perform data entry tasks accurately and efficiently, maintaining organized records and files.
  • Calendar management, scheduling appointments, and coordinating meetings for staff members.
  • Provide administrative support including typing documents, proofreading materials, and managing office correspondence.
  • Utilize booking systems for basic bookkeeping tasks and financial record keeping as needed.
  • Maintain office organization through effective filing systems and inventory management of supplies.
  • Offer customer support by addressing client concerns promptly and effectively.
  • Collaborate with team members to ensure efficient office operations and assist in various projects as required.
  • Skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong computer literacy with the ability to learn new software quickly.
  • Excellent organizational skills with a keen attention to detail.
  • Effective time management skills to prioritize tasks efficiently.
  • Experience in clerical duties with a focus on customer service excellence.
  • Familiarity with front desk operations and phone etiquette for professional communication.
  • Previous experience in industry is a plus.
  • Knowledge of bookkeeping principles is advantageous but not mandatory.
  • Bilingual abilities are highly desirable to enhance communication with diverse clientele.
