Scholar Attendance Clerk Executive Summary
The Scholar Attendance Clerk serves as a vital point of contact for scholars and families, ensuring the integrity of attendance data and supporting a culture of consistent engagement. By maintaining accurate records and facilitating clear communication regarding absences, this role helps identify scholars who may need additional support to stay on track. Working closely with the Scholar Services Coordinator, the Attendance Clerk provides the essential data necessary for school\-wide success and legal compliance.
Essential Functions
* Clerical Accuracy: Perform a variety of detailed clerical activities specifically focused on student attendance and data integrity.
* Database Management: Enters and maintains attendance data in the school database, ensuring all information is edited, revised, and reported according to established timelines.
* Proactive Communication: Makes and receives phone calls and processes notes regarding student absences and early dismissals, serving as a primary link between the school and families for attendance.
* Scholar Support: Receives and relays messages to students, staff, and parents.
* Compliance Documentation: Maintains computerized data files and records related to attendance, including tardiness, truancy, and suspensions in the SIS, including required automated letters for State attendance thresholds.
* Administrative Assistance: Prepares and maintains lists and reports regarding scholar attendance for use by the Scholar Services Coordinator in preparing formal legal notifications.
* Registration Support: Collaborates with the Registrar to communicate with families and provide hands\-on assistance to parents in completing required registration forms.
* State Testing: Assist in registering students for State testing as necessary.
- Implement and carry out district policies as needed.
- Perform other duties as may be assigned by the CEO or designee, necessary and appropriate to achieve the program and/or school goals and objectives.

* Collaborative Teamwork: Ability to work effectively within a team to proactively identify and meet the evolving needs of the scholar population.
Educational Requirements
* Minimum: A high school diploma or GED is the standard requirement for entry\-level positions.
* Preferred/Advanced: Associate's degree or college coursework in office administration, business, or education.
* Specialized Training: Knowledge of specific Student Information Systems (SIS) (JMC).

Technical \& Administrative Skills
* Data Entry Proficiency: The ability to input high volumes of attendance data quickly and with 100% accuracy.
* Office Software: Proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace.
* Basic Mathematics: Calculating attendance percentages, tardy minutes, and preparing FTE (Full\-Time Equivalent) reports.
* Regulatory Knowledge: Understanding school policies, state attendance laws, and FERPA (student privacy) regulations.
Interpersonal \& Soft Skills
* Communication: Clear verbal and written skills for calling parents regarding absences and drafting formal truancy letters.
* Discretion \& Confidentiality: Handling sensitive information (like medical notes or family crises) with high ethical standards.
* Conflict Resolution: Remaining calm and professional when dealing with frustrated parents or students regarding unexcused absences.
* Organization: Managing multiple streams of information (phone calls, emails, doctor's notes).
