The Legal Assistant / Receptionist serves as the first point of contact for the firm and plays a critical role in delivering a professional, organized, and responsive client experience. This position is responsible for managing incoming communications, supporting client intake efforts, and assisting with administrative and document\-related tasks
Key Responsibilities
- Client Communication \& Call Management
- Answer all incoming calls promptly and professionally
- Schedule client appointments as needed
- Return all missed calls and voicemails within 24 hours
- Conduct outbound follow\-up calls to prospective clients who have not yet scheduled intake appointments
- Maintain a high level of professionalism and empathy in all client interactions
- Email \& Communication Coordination
- Monitor incoming emails and ensure timely responses or proper routing
- Document all client communications accurately in the firm’s CRMs
- Client Intake Support: Assist the Intake Coordinator and intake team as needed by scheduling and confirming intake appointments
- Documents \& Administrative Support: Review, upload, and organize client documents in the firm’s system
- Ensure all documents are properly labeled, categorized, and accessible
- Assist with general administrative tasks to support the intake and legal teams
- Answering and returning incoming calls
- Completing outbound follow\-up calls to prospective clients
- Assisting with document management and administrative tasks
- Previous experience in a legal, administrative, receptionist, or client service role preferred
- Strong communication skills (both verbal and written)
- Excellent organizational and multitasking abilities
- Ability to handle high call volumes while maintaining professionalism
- Detail\-oriented with strong data entry accuracy
- Comfortable using CRM or case management systems
