Overview
We are seeking a dynamic and organized part\-time, work\-from\-home (WFH) Receptionist/Administrative Assistant to join our team! In this vital role, you will be answering phones, scheduling visits, providing basic customer service, and providing essential administrative support to ensure smooth daily functions. Your energetic approach and attention to detail will help create a positive environment for clients, visitors, and staff alike. Responsibilities
- Answer phones (using our multi\-line phone system) throughout the work day during business hours (8\-4\), as able.
- Call back any missed calls in a reasonable amount of time, since missed calls will happen.
- Screen for spam and qualify inbound leads using simple scripts.
- Follow up on inbound leads that came in overnight or over the weekend either by phone or email.
- Schedule on\-site assessments, to be performed by others.
- Schedule appointments for approved quotes, based on input from owner, sales person, and clients.
- Support office management tasks such as filing, data entry, proofreading documents, and maintaining organized records.
- Assist with calendar management and scheduling for team members or executives using tools like Google Workspace or Microsoft Office.
- Perform clerical duties including updating databases, and supporting bookkeeping or invoicing tasks as needed.
- Previous experience as a receptionist, administrative assistant, or in customer support.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with multi\-line phone systems and excellent phone etiquette.
- Ability to manage time effectively in a fast\-paced environment while prioritizing tasks efficiently.
- Knowledge of office management procedures including filing systems, data entry, and calendar coordination.
