Responsibilities
- Greet visitors and clients warmly, providing excellent customer service and ensuring a professional first impression
- Manage multi\-line phone systems, direct calls appropriately, and handle inquiries with professionalism and courtesy
- Oversee front desk operations, including scheduling appointments, maintaining visitor logs, and managing mail distribution
- Maintain accurate records through data entry, filing systems, and document proofreading to ensure organizational efficiency
- Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily administrative tasks
- Support bookkeeping activities by tracking expenses, processing invoices, and managing petty cash as needed
- Coordinate calendar management for executives and team members, scheduling meetings and preparing necessary materials
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Office Ally, Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and basic computer literacy
- Excellent phone etiquette with experience handling multi\-line phone systems and customer support interactions
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment
- Experience with data entry, filing systems, proofreading documents, and maintaining accurate records
- Knowledge of office equipment such as printers, scanners, and fax machines; familiarity with bookkeeping or QuickBooks is a plus
- Personal assistant or medical receptionist experience is advantageous for understanding specialized workflows
- Ability to manage time effectively while handling multiple responsibilities with professionalism and attention to detail
