TITLE: Administrative Assistant II, Exceptional Student Services

EMPLOYMENT TERMS: 1\.0 FTE/9 month position

SALARY CLASSIFICATION: Classified

GENERAL STATEMENT of RESPONSIBILITIES:

The Administrative Assistant II/ Exceptional Student Services will be responsible for providing office management services for the Exceptional Student Services department. Responsibilities will include maintaining a high level of confidentiality and standard of professionalism as they provided support for the Director of Exceptional Student Services and other district Exceptional Student Services staff

PRINCIPLE DUTIES:

  • General office coverage; answers phones and greets the public.
  • Coordinate’s student intake, registration, IEPs, METs, MDCs, and other Exceptional Student Services concerns with appropriate site, staff, and/or parents.
  • Trains and assists with administrative paraprofessionals for each site as needed.
  • Responsible for establishing and maintaining all Exceptional Student Services records and files and maintaining the confidential nature of such files; including incoming and outgoing records requests.
  • Maintains student management database to include all special education\-related entries and data collection.
  • Tracks Exceptional Student Services student entries and withdrawals.
  • Screens incoming Exceptional Student’s paperwork for key points relative to placement.
  • Monitor IEP/MET and other pertinent dates to ensure compliance concerning scheduling at each site.
  • Schedules meetings with parent/student/staff.
  • Processes and maintains Voucher applications/status.
  • Maintains attendance reports for outsourced students.
  • Monitors and finalizes Exceptional Student Services documents to ensure compliance.
  • Processes Social Security Administration document requests.
  • Must coordinate daily, weekly, monthly, and yearly calendars.
  • Assists in the development and maintenance of federal and state grants.
  • Monitors, prepares, and processes purchase orders.
  • Performs other related duties as assigned.
  • OCCUPATIONAL CONDITION:

    Low risk \- Work is routinely performed in both indoor and outdoor environments, including exposure to noise and being on your feet for extended periods of time. Requires standing in inclement weather including summer heat.

    The applicant for this position is required to:

  • regularly required to sit, talk and/or hear.

  • Kneeling/Stooping approximately 5% of the time
  • Lift on a regular basis 30\-50lbs
  • Use hands to finger, handle, or feel objects, tools and/or controls; and reach with hands and arms on a regular basis.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

    SKILLS REQUIRED:

  • Bilingual (Spanish/English), preferred.

  • QUALIFICATIONS:

  • Must possess a high school diploma or equivalent, supplemented by appropriate training.
  • Must possess one to three years’ experience, preferably working in a school district setting.
  • Must possess a thorough knowledge of technology and the use of standard office equipment, computers, and business software.
  • Must complete a series of secretarial tests with a high degree of proficiency.
  • Must have the ability to communicate and work well with staff, students, and parents.
  • Must use own initiative and judgment in performing the job.
  • Must possess the ability to deal effectively with matters of confidentiality.
  • Such alternatives to the above as the Governing Board may find appropriate and acceptable.

EVALUATION PROCEDURE:

The evaluation is done by the Director of Exceptional Student Services, with input from the Site Administration, following provisions specified in governing board policy.

SUPERVISION RECEIVED:

The Administrative Assistant II/ Exceptional Student Services reports directly to the Director of Exceptional Student Services.
