Responsibilities
- Greet patients warmly, determine their needs, and direct them appropriately
- Manage our office phone with professionalism and courtesy, handling inquiries and routing calls effectively
- Maintain organized front desk area, including filing, data entry, and document proofreading
- Schedule appointments and calendar management using our EHR system
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide exceptional customer service by addressing inquiries promptly and supporting patient needs
- Assist with clerical duties including typing reports, maintaining records, and supporting administrative projects
- Ensure phone etiquette standards are upheld during all interactions to promote a positive image of the organization
- Office experience with strong computer literacy in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment
- Previous clerical or administrative experience preferred; experience in dental or medical receptionist roles is a plus
- Strong customer service skills with a friendly demeanor and professional phone etiquette
- Bilingual abilities (Spanish) are highly desirable to support diverse client needs
- Familiarity with scheduling, data entry, filing procedures, and office management tools such as QuickBooks is preferred
- Ability to handle confidential information discreetly and demonstrate effective time management skills
- Personal assistant or calendar management experience is advantageous for supporting executive schedules
