Responsibilities

- Manage multi\-line phone systems with courteous phone etiquette, directing calls accurately and efficiently.
- Handle front desk duties such as signing in visitors, managing documentation and patient communication.
- Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to update records, schedules, and correspondence.
- Organize and maintain filing systems—both physical and digital—to ensure quick retrieval of documents.
- Support office management tasks including calendar management, appointment scheduling, and coordinating meetings.
- Assist with bookkeeping activities using QuickBooks or similar accounting software to support basic invoicing and expense tracking.
- Conduct proofreading of documents for accuracy and clarity before distribution.
- Support administrative functions such as copying, scanning, mailing, and inventory management of office supplies.
- Provide clerical support including typing correspondence, preparing reports, and managing incoming/outgoing mail.
- Maintain professionalism through effective phone etiquette and customer support skills when interacting with clients or vendors.
- Collaborate with team members to streamline office operations and improve overall efficiency.
- Proven experience in office administration or clerical roles with a strong background in customer service.
- Basic computer skills
- Familiarity with QuickBooks or bookkeeping software is advantageous.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment.
- Knowledge of office management procedures including filing systems, data entry, calendar management, and document preparation.
- Exceptional interpersonal skills with professional phone etiquette and customer support capabilities.
- Previous experience as a dental or medical receptionist or personal assistant is beneficial but not required.
