The Assistant Project Manager / Office Administrator plays a critical role in supporting project execution and ensuring smooth day\-to\-day office operations. This individual works closely with the Project Manager and President to track project progress, coordinate documentation, and maintain organized administrative processes.
This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast\-paced construction environment.
Duties/Responsibilities
Project Support
- Assist the Project Manager in tracking project timelines, budgets, and deliverables
- Maintain and update project logs, schedules, and documentation
- Coordinate with subcontractors, vendors, and clients to support project execution
- Track submittals, RFIs, change orders, and project correspondence
- Assist with procurement and material tracking for projects
- Help ensure compliance with project requirements, contracts, and deadlines
- Prepare reports and updates for the Project Manager and Owner
- Provide general administrative support including filing, data entry, and document management
- Answer phones, manage emails, and serve as a point of contact for internal and external inquiries
- Maintain organized digital and physical filing systems
- Support invoicing, purchase orders, and basic accounting coordination
- Assist with payroll documentation, timesheets, and employee records as needed
- Coordinate office supplies, equipment, and vendor services
- Serve as a liaison between field teams, office staff, and management
- Schedule meetings, site visits, and project\-related appointments
- Ensure clear and timely communication across all project stakeholders
- Support preparation of bids, proposals, and project documentation
- Maintain and update project logs, schedules, and documentation
- Coordinate with subcontractors, vendors, and clients to support project execution
- Track submittals, RFIs, change orders, and project correspondence

- Associates Degree in Business, Construction Management, or comparable area of study preferred
- Minimum of two years of experience in the construction industry
- Minimum of two years of experience with office administration and project coordination
- Proficiency with AirTable
- Experience with AI to improve efficiency and research
