Responsibilities
- Manage and coordinate complex calendars using Microsoft Outlook Calendar and Google Workspace to ensure optimal scheduling of meetings, appointments, and events.
- Provide comprehensive executive administrative support including email management, document preparation, proofreading, transcription, and data entry.
- Organize and plan events, meetings, and travel arrangements to facilitate smooth execution of projects and initiatives.
- Handle phone etiquette professionally across multi\-line phone systems, screen calls, take messages, and direct inquiries appropriately.
- Oversee office management duties such as filing, document organization, office supply inventory, front desk reception, and maintaining a welcoming environment.
- Perform bookkeeping tasks using QuickBooks or similar software to track expenses, process invoices via DocuSign or other electronic signature platforms, and assist with basic bookkeeping responsibilities.
- Support project coordination efforts by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
- Proven experience as a Personal Assistant or in an administrative support role with strong office management skills.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and computer literacy overall.
- Strong typing skills with high accuracy for data entry, transcription, proofreading, and document editing.
- Knowledge of bookkeeping practices using QuickBooks or similar accounting software.
- Exceptional communication skills with professional phone etiquette across multi\-line phone systems.
- Experience with event planning, project coordination, filing systems, and front desk operations.
- Ability to handle confidential information discreetly while providing executive administrative support efficiently.
