Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi\-line phone systems to handle incoming calls efficiently, providing excellent customer service and support.
  • Perform data entry using tools like QuickBooks, Microsoft Office, and Google Workspace to maintain accurate records.
  • Assist with office management tasks such as filing, proofreading documents, and organizing supplies to ensure a tidy and productive workspace.
  • Support calendar management and scheduling for team members, including personal assistant duties when needed.
  • Provide customer support by answering inquiries, managing appointments, and ensuring a positive experience for clients and visitors.
  • Maintain office equipment and supplies inventory, ensuring all tools are functional and well\-stocked for daily operations.
  • Qualifications

  • Proven experience in office management or clerical roles with strong organizational skills.
  • Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and general office software.
  • Excellent phone etiquette with experience handling multi\-line phone systems; bilingual abilities are a plus.
  • Strong typing skills with attention to detail for proofreading and document accuracy.
  • Previous experience in customer service or customer support roles preferred.
  • Knowledge of QuickBooks or bookkeeping experience is advantageous.
  • Ability to manage time effectively, prioritize tasks efficiently, and adapt to changing priorities in a fast\-paced environment.
