Job Summary

This position in fully in office. There is no oppurtunity for remote or hybrid work.

We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and administrative backbone of our office. This vital role involves managing front desk operations, providing exceptional customer support, and ensuring smooth office management. The ideal candidate will be energetic, detail\-oriented, and possess excellent communication skills to handle various administrative tasks efficiently. Your positive attitude and proactive approach will help create a professional and friendly environment for clients, visitors, and team members alike.

Duties

  • Greet visitors warmly, answer multi\-line phone systems, and direct calls with professionalism and courtesy
  • Manage front desk operations including scheduling appointments, handling inquiries, and maintaining a welcoming atmosphere
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of office records
  • Utilize Office management software such as Microsoft Office, Google Workspace, and QuickBooks for various administrative tasks
  • Support calendar management, appointment setting, and personal assistant duties for staff members
  • Assist with bookkeeping tasks, including basic bookkeeping and invoice processing
  • Maintain office supplies inventory and coordinate with vendors as needed to ensure smooth daily operations
  • Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Excellent phone etiquette with experience managing multi\-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Neat, clean handwriting
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment
  • Previous experience as a receptionist in medical or dental settings is a plus but not required
  • Demonstrated customer service skills with a friendly demeanor and professional appearance
  • Ability to handle confidential information discreetly and maintain high accuracy in proofreading and data entry tasks
