Position Overview
The Museum Collections \& Shop Assistant provides support to the Collections Manager and Shop Manager to ensure the physical safety and digital accuracy of the museum’s holdings through meticulous data entry, inventory control, and object cataloging. This position also serves as a secondary point of contact for the public by contributing to the creation of a welcoming and engaging museum environment. This position requires the ability to work weekends 9:30am\-4:30pm.
Key Responsibilities
Collections \& Exhibition Support
- Assist with handling, recording, and photography of WMODA collection items
- Enter and update records in the museum’s collections database using FileMaker Pro
- Support installation and deinstallation of exhibitions, including packing, labeling, and object movement under supervision
- Help with storage organization, inventory, and basic collections management tasks as assigned by the Collections Manager
- Assist Collections Manager with all new acquisitions, inventory control and reserve collection items in storage
- Receive new shop stock from artists, complete consignment forms and manage any stock removals
- Produce SKUs, price labels, caption cards and artist information for museum and online shops
- Photograph new inventory, add incoming merchandise to Shopify, and add photos to folder labeled with the appropriate SKU
- When items are sold, move photos to “Sold” Folder
- Assist with packing of items sold in the museum shops and galleries
- Replace restock and rotate shop displays as needed
- Clean and maintain shop displays as directed
- Advise the Shop Manager when stock replacement is required and assist with ordering supplies
- Support the Admissions desk during lunch breaks and PTO
- Process admissions, memberships, and museum shop sales; handle cash, credit card, and digital payments using Shopify
- Greet and assist visitors at the front desk, providing information about exhibitions, tours, programs, and museum policies
- Answer in\-person, phone, and email inquiries and direct questions to appropriate staff
- Assist staff during special events, exhibition openings, and educational initiatives
- Contribute to a positive, team\-oriented environment that aligns with the museum’s mission
- Bachelor’s degree in Art History, Museum Studies, Fine Arts, or a relevant field
- 2\+ years of professional experience in a museum, gallery, library, high end retail, archive or similar setting preferred. Customer service, retail, front\-of\-house operations, or an administrative support experience helpful.
- Strong computer skills and office software (Microsoft 365 applications preferred)
- Experience with, or ability to quickly learn Shopify system and Filemaker Pro database
- Proficiency in digital photography for documenting inventory and collection items
- Proficiency in or ability to quickly learn safe handling, packing, and moving delicate museum objects and high\-end gallery merchandise; ability to lift and move objects (typically under 40 lbs) for exhibition installation and storage reorganization
- Ability to stand for extended periods to perform repetitive tasks like cleaning displays or packing items
