Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi\-line phone systems, and providing excellent customer support with professional phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Organize and file documents systematically, ensuring easy retrieval and confidentiality of sensitive information
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff and executives
  • Support office management tasks such as supply inventory, filing systems, and proofreading documents for accuracy
  • Provide clerical support including photocopying, faxing, mailing, and updating databases as needed
  • Deliver exceptional customer service by addressing inquiries promptly and professionally in person or via phone or email
  • Qualifications

  • Proven office experience with strong computer literacy in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Prior clerical experience with data entry, filing, proofreading, and handling multi\-line phone systems
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Strong customer service skills with a professional demeanor and excellent phone etiquette
  • Experience with QuickBooks or bookkeeping is a plus but not required
  • Personal assistant or medical/dental receptionist experience is advantageous for understanding specialized workflows
