Overview
We are seeking an energetic and professional Front Desk Receptionist to serve in our busy practice. This vital role involves managing front desk operations, providing exceptional customer support, and ensuring smooth office management. The ideal candidate will be highly organized, tech\-savvy, and possess excellent communication skills to create a positive first impression for patients. Experience in Optometry or Ophthalmology is ideal but not required. This paid position offers an exciting opportunity to develop your administrative expertise in a dynamic environment.
Responsibilities
- Greet patients warmly and professionally, ensuring they feel welcomed and attended to promptly.
- Manage multi\-line phone systems with courteous phone etiquette, directing calls efficiently to the appropriate departments or personnel. Check in and check out patients. Verify medical insurance and confirm prior authorizations for insurances and procedures.
- Handle all clerical tasks including data entry, filing, proofreading, and maintaining accurate records using Microsoft Office and Google Workspace tools.
- Support office management duties such as calendar management, appointment scheduling, and organizing meetings or events. Assist in organizing the office, present and maintain a clean office and exam room environment for patients.
- Assist with basic bookkeeping tasks using QuickBooks and perform light office bookkeeping responsibilities.
- Provide exceptional customer service by addressing inquiries via phone or in person and supporting client needs with professionalism.
- Maintain a tidy and organized reception area while managing incoming mail, packages, and office supplies.
- Prior office experience or clerical experience demonstrating strong organizational skills and attention to detail.
- Proven ability to handle multi\-line phone systems with professionalism and clear communication.
- Bilingual abilities are highly desirable to effectively communicate with diverse patients.
- Familiarity with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills.
- Experience in customer service roles that require excellent phone etiquette and interpersonal skills.
- Knowledge of medical duties, Optometry/Ophthalmology background is a plus but not required; experience as a personal assistant or in office management is beneficial.
