Role Description
This is a part\-time hybrid role based in Miami, FL, with flexibility for some remote work. Regular in\-person time will be required.
This role requires consistent daily availability during the workweek. Hours cannot be consolidated into a few full days.
The Client Service \& Operations Assistant plays an important role in keeping the practice organized and running smoothly. This position manages account paperwork, maintains CRM accuracy, coordinates client service needs, and supports workflow improvements.
This role is ideal for someone who enjoys creating order, improving systems, and ensuring nothing falls through the cracks.
Key ResponsibilitiesAccount \& Service Operations
- Manage end\-to\-end account opening and transfer processes
- Track paperwork through completion and funding
- Communicate with custodians (Schwab) to resolve service issues
- Monitor transfer progress and proactively update clients
- Maintain complete and accurate client records
- Track activities, follow\-ups, and service requests
- Organize contacts, tagging, and workflow tasks
- Ensure data integrity and reliability
- Communicate directly with clients regarding service needs and paperwork
- Send reminders related to retirement timelines and required actions
- Respond to routine client service requests promptly and professionally
- Track prospective clients and retirement timelines
- Maintain follow\-up schedules after meetings and consultations
- Assist with onboarding workflows and recurring service processes
- Help implement automation for reminders and client outreach
- Identify opportunities to improve efficiency and organization
- Coordinate scheduling and client meetings
- Assist with day\-to\-day operational needs of the practice
- Assist with occasional social media management and marketing coordination
- (RIA, brokerage, wirehouse, or bank wealth division)
- Experience handling account paperwork and transfers
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and deadlines
- Professional client communication skills
- Comfort using financial technology systemsPreferred
- Experience with Schwab Advisor Center or similar custodial platforms
- Experience with Redtail CRM
- Experience supporting a financial advisor or planning practice
