Responsibilities

  • Manage front desk operations, greeting visitors and clients with professionalism and warmth
  • Operate multi\-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
  • Maintain accurate data entry, filing systems, and document proofreading to ensure information integrity
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for reports, correspondence, and scheduling
  • Oversee calendar management for executives or team members, coordinating appointments and meetings
  • Support bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking
  • Provide exceptional customer support through clear communication and timely responses to inquiries
  • Assist with office management duties such as supply ordering, organization of files, and maintaining a clean workspace, cleaning showroom
  • Perform clerical tasks including typing documents, proofreading materials, and data entry with high accuracy
  • Support personal assistant responsibilities as needed to help team members stay organized and on schedule
  • Experience

  • Prior office experience or administrative support roles demonstrating strong organizational skills
  • Proficiency in computer literacy including Microsoft Office (Word, Excel) and Google Workspace applications
  • Experience handling multi\-line phone systems and managing front desk operations in a professional environment
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of office management procedures such as filing systems, calendar coordination, and data entry techniques
  • Customer service background with excellent phone etiquette and interpersonal skills
  • Clerical experience involving proofreading, document preparation, and record keeping
  • Familiarity with bookkeeping tools like QuickBooks or similar financial software is a plus
  • Personal assistant or medical/dental receptionist experience is advantageous for understanding specialized workflows
  • Strong time management skills to prioritize tasks efficiently in a busy office setting
