Responsibilities

  • Manage phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette.
  • Handle data entry tasks with precision, including updating records in Google Drive and other office management software.
  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents.
  • Support calendar management by scheduling appointments, meetings, and coordinating events.
  • Perform general clerical duties such as proofreading documents, preparing correspondence, managing incoming/outgoing mail, and updating reports.
  • Support office management activities by ordering supplies, maintaining equipment, and ensuring the office environment is tidy and functional.
  • Provide administrative support for various departments as needed, including personal assistant responsibilities or receptionist duties if applicable.
  • Demonstrate excellent organizational skills by managing multiple priorities efficiently while maintaining attention to detail.
  • Exhibit strong computer literacy across platforms such as Google Workspace applications.
  • Uphold high standards of professionalism through effective communication and adherence to confidentiality protocols.
  • Contribute to a positive office atmosphere through proactive problem\-solving and teamwork.
  • Experience

  • Previous office experience or clerical experience is highly preferred; familiarity with front desk operations is a plus.
  • Proven ability to handle phone systems with professionalism and courtesy.
  • Bilingual skills are desirable to assist diverse client needs effectively.
  • Demonstrated proficiency in computer skills including data entry, typing accuracy, proofreading, and document management.
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
  • Experience in customer service roles that require excellent phone etiquette and customer support skills is beneficial.
  • Knowledge of real estate or legal receptionist duties or personal assistant experience can be an asset but is not mandatory.
