Position Overview
The Executive Assistant provides high\-level administrative support to the senior executives of the organization, ensuring efficient operations and effective coordination across all areas of the business. This role involves a wide range of responsibilities, including routine administrative tasks, project\-based assignments, and situational support as needed. The Executive Assistant must be adaptable, organized, and capable of handling multiple priorities while maintaining confidentiality and professionalism. Duties may vary based on executive needs, specific projects, and organizational priorities, requiring flexibility and sound judgment at all times.
What You'll Do
Executive Support
- Provide direct administrative and operational support to the Chief Operations Officer, General Manager, Chief Executive Officer, Head Coach and President, as assigned.
- Perform a variety of tasks including scheduling, communication management, client service, information gathering, and project coordination.
- Manage staff and contractors on behalf of executives, ensuring alignment with company policies and executive direction.
- Assist with both ongoing and ad hoc assignments, including temporary, project\-based, and recurring responsibilities.
- Provide assistance to management and staff during periods of high workload, employee absence, or urgent project deadlines.
- Contribute to special projects and organizational initiatives as assigned by executives or management.
- Contribute to event day duties as assigned.
- Handle correspondence, phone calls, and communications on behalf of executives.
- Execute a wide range of executive\-level projects and initiatives.
- Assist with troubleshooting minor computer, phone, or technology issues.
- Assist with budget management, prepare and make bank deposits as directed.
- Plan and coordinate company events, including the annual holiday party and other gatherings.
- Make purchases and handle errands for executives as needed.
- Assist with applications for bids, certifications, permits, and vendor registrations.
- Maintain organized records of company passwords, logins, and digital IDs.
- Provide backup support to the finance, human resources, marketing, revenue and legal departments as needed.

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer and office technology.
- Trustworthy and honest, maintaining strict confidentiality of company and client information.
- Ability to remain calm and effective in emergency or high\-pressure situations.
- Four (4\) or more years of administrative or executive assistant experience supporting senior leadership.
- Demonstrated ability to manage multiple priorities and projects in a fast\-paced environment.
- Experience handling confidential information with discretion and professionalism.
- Ability to sit, stand and utilize a computer for extended periods of time
- Communicate via phone and email with a variety of individuals
- Ability to bend at the waist, reach overhead and lift up to 15 lbs with or without accommodation
- Physically navigate stairs and catwalks event facilities during work hours and events with or without accommodation
- Ability to work extended hours including nights, weekends, holidays (all with advance notice)
- May be required to travel to other team / venue locations
- May be required to attend conference, events, and training sessions within Northern California or in\- or out\-of\-state locations
- You will support the voice and content identity of a new professional sports franchise from day one
- You will help establish how MLV NorCal shows up in culture, shaping perception across fans, athletes, and the broader community

What We're Looking For
Qualifications
High school diploma or equivalent required; associate or bachelor’s degree in business administration, communications, or a related field preferred.
