Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi\-line phone systems, answer inquiries promptly, and route calls efficiently to the right departments or personnel
  • Perform data entry tasks accurately using computer skills, including Microsoft Office and Google Workspace applications
  • Maintain organized filing systems—both digital and physical—to ensure quick retrieval of important documents
  • Support bookkeeping activities by managing invoices, receipts, and basic financial records using QuickBooks or similar software
  • Assist with calendar management and scheduling appointments for team members or executives to optimize time utilization
  • Provide excellent customer support by addressing inquiries, resolving issues, and ensuring a positive experience for all stakeholders
  • Skills

  • Proven office management experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with QuickBooks for bookkeeping and basic accounting tasks
  • Excellent phone etiquette with experience handling multi\-line phone systems and customer support calls
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Strong clerical experience including filing, proofreading, data entry, and document management
  • Effective time management skills to prioritize tasks efficiently in a busy office setting
  • Personal assistant or administrative experience that demonstrates calendar management and task coordination skills
