Overview
Shred Ace is a North Carolina\-based document shredding company with a sole focus on secure destruction. They are currently seeking a dynamic and detail\-oriented Administrative Assistant to join their team! This is an hourly, full\-time position based on\-site in their Durham office. Hours are 8:00\- 5:00 with 1 hour for lunch.
The primary responsibility of this position will be assisting the Sales and Customer Service teams with administrative support. A keen business sense is required – this is a service business, and the ideal candidate will need to wear many hats and thrive in a fast\-paced, sales\-oriented environment. This position will entail collections, customer service emails, data entry, onboarding new customers, answering phones when needed, and other administrative tasks.
Key Responsibilities
- Administration: Clerical tasks including collections, processing recycling tickets, managing subcontractor payments, processing incoming credit card payments, sending out forms (W\-9’s, COI’s) and more.
- Email Management: Efficiently review, answer, and file emails with precision and timeliness.
- Data Entry: Booking new jobs in the scheduling software in support of Sales team.
- Onboarding: Onboarding new customers utilizing the company’s simplified CRM application.
- Phone Management: Answering phone lines when Sales/Customer Service are busy and communicating with customers in a friendly and professional manner.
- Collaboration: Work closely with all team members to ensure cohesive and consistent messaging to customers.
- 1\-2 years of experience in administrative roles or customer service required.
- Exceptional skills in writing, editing, and proofreading.
- Ability to handle customer service inquiries and issues with grace and professionalism.
- Proficiency in Microsoft Office, QuickBooks, and basic CRM applications.
- Persistent and consistent work ethic, self\-motivated, and driven to excel in a fast\-paced environment.
- Excellent multi\-tasking and time management skills with the ability to prioritize and meet deadlines – the Administrative Assistant position can have many pressing tasks simultaneously throughout the day, and the right candidate will need to constantly monitor, navigate, and respond accordingly while having a “head on a swivel” mindset.
