Job Summary
The City of Fort Collins Traffic Operations Department is seeking a detail\-oriented and customer\-focused Front Desk Administrative Assistant to join our team! In this role, you will be the welcoming face of our department, assisting both internal and external customers with professionalism and efficiency. This is an hourly, non\-benefited position for someone who will work on\-site with an anticipated weekly commitment of 20\-25 hours a week; working hours will be between the hours of 8 am \- 5 pm, Monday – Friday. This is a fantastic opportunity for someone who has passion for communication and customer service, the organizational skills needed to work on multiple projects, and a desire to be part of the daily operations of local government!
Essential Duties and Responsibilities
The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all inclusive.
- Answer phones, emails, and in\-person customer inquiries and ensure they are directed to the appropriate personnel or department.
- Input requests and dispatch through software program with detail and accuracy.
- Coordinate meetings with partners and internal staff.
- Prepare agendas, type minutes at meetings, and track action items.
- Coordinate and schedule special events, department meetings, and travel arrangements.
- Provide clerical support including preparing or answering correspondence; open and route incoming mail and prepare outgoing mail.
- Maintain effective office systems and procedures, including supply inventory.
- Responsible for maintaining specific projects or programs for the department as assigned.
- Provide administrative support to department staff and managers.
- Perform general office tasks such as filing, photocopying, and data entry.
- Demonstrated cultural competence to effectively interact, work, and develop meaningful relationships with people of diverse identities, perspectives, and cultural backgrounds.
