Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi\-line phone systems, handle incoming calls, and route inquiries effectively
  • Maintain accurate data entry records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and administrative purposes
  • Organize and file documents systematically, ensuring easy retrieval and compliance with record\-keeping standards
  • Support calendar management by scheduling appointments, meetings, and reminders for team members
  • Assist with clerical duties such as proofreading correspondence, preparing reports, and managing office supplies
  • Provide excellent customer support through attentive communication and prompt resolution of inquiries or issues
  • Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic data entry skills
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Bilingual abilities are a plus to serve diverse clients effectively
  • Excellent phone etiquette and customer service skills to handle front desk responsibilities confidently
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Clerical experience including filing, proofreading, and document management is highly desirable
  • Personal assistant or medical/dental receptionist experience is beneficial but not required
  • Ability to adapt quickly in a fast\-paced environment while maintaining professionalism
