Job Description: Secretary / Administrative Assistant (Assisted Living)
Position Summary
● Administrative Assistant provides administrative and clerical support to ensure smooth daily operations of the assisted living facility.
● Serves as the first point of contact for residents, families, visitors, and staff while maintaining accurate records and supporting regulatory compliance.
Core Responsibilities
● Initiate phone calls to facilitate companies work, client care and staff need
● Greet residents, families, and visitors professionally
● Respond to inquiries and route messages appropriately
● Manage incoming and outgoing mail
● Maintain resident and staff files (paper and electronic)
● Assist with data entry and document preparation
● Schedule appointments and meetings
● Prepare reports, forms, and correspondence
Resident Support Tasks
● Assist with admission paperwork and intake forms
● Coordinate appointments, transportation, or services
● Maintain accurate and confidential resident information (HIPAA compliance)
Compliance \& Recordkeeping
● Maintain documentation in accordance with assisted living regulations
● Organize files for audits and inspections
● Track required forms, consents, and documentation
Office Coordination
● Manage office supplies and inventory
● Support leadership with clerical tasks
● Assist with scheduling or timekeeping as needed
Skills \& Qualifications
● Strong communication and customer service skills
● Excellent organizational and multitasking abilities
● Proficiency in Microsoft Office (Word, Excel, Outlook)
● Ability to maintain confidentiality
● Healthcare or assisted living experience preferred
Goal of the Role
● To ensure efficient front\-office operations, accurate documentation, and excellent customer service to support resident care and administrative functions.
Job Type: Part\-time
Pay: $19\.00 \- $24\.00 per hour
