Job Summary
We are seeking a detail\-oriented Administrative Assistant to support the day\-to\-day operations of a fast\-paced financial services office. This role is heavily focused on application processing, account servicing, advisor onboarding, and client support. The ideal candidate is highly organized, proactive, and able to manage multiple processes from start to finish with accuracy and follow\-through.
Key Responsibilities
- Prepare, review, and process new account applications and maintenance requests
- Submit applications through systems such as AdviceWorks and Firelight, ensuring completeness and accuracy
- Track submissions and proactively follow up on outstanding items to ensure timely processing
- Assist with account setup, including opening new accounts and updating existing account information
- Facilitate asset transfers, monitoring progress and resolving issues as needed
- Process inbound and outbound money movements, including wires, journals, and transfers
- Perform accurate and timely data entry across multiple systems, including Redtail CRM
- Maintain organized records and documentation in accordance with compliance standards
- Support the onboarding of new experienced advisors, ensuring a smooth and efficient transition
- Prepare and process onboarding applications
- Assist with transferring and setting up existing client accounts and assets
- Input and organize advisor and client data within Redtail CRM and other internal systems
- Track onboarding progress and proactively follow up on outstanding items
- Provide ongoing administrative support to newly onboarded advisors during their transition period.
- 1\-3 years of administrative or operations experience, preferably in financial services
- Strong attention to detail and ability to manage high\-volume, process\-drive work
- Excellent organizational and time management skills
- Strong written and verbal communication skills, especially when working with clients and advisors
- Proficiency in Microsoft Office (Outlook, Excel, Word, Teams)
- Experience with account opening, transfers, and money movement processes
- Experience supporting financial advisors
- Ability to troubleshoot issues and follow processes through to completion
