Administrative Assistant to the Superintendent

Salary : Based on Experience / Education \- BASE \- $52,720
Essential Functions:
- Serve as the Superintendent and Assistant Superintendent’s confidential secretary and personal assistant, managing effective office operations to facilitate the timely achievement of district objectives.
- Collect and organize information; confirm data to prevent entry errors; prepare documents using database, presentation, spreadsheet, and word processing software.
- Maintain an effective records management system for filing and retrieving information.
- Efficiently manage concurrent responsibilities; prioritize and complete assigned tasks within required timeframes; develop effective solutions for work\-related problems.
- Prepare board agendas and meeting packets; update board policy and administrative procedure manuals.
- Prepare the district academic calendar and federal/state reports as directed.
- Maintain student discipline files (letters, expulsions, hearings, etc.).
- Prepare purchase orders, reorder consumable supplies as needed, verify deliveries, reconcile invoices for payment, and maintain a transaction/account balance ledger.
- Assist with special projects and committee activities as directed; maintain a procedural manual for the position regarding tasks and related duties.
- Registers staff for conferences, books hotels as directed.
- Manages mileage forms.
- High school diploma or GED; advanced secretarial skills through training or work experience.
- Achievement of a satisfactory pre\-employment test score is required. (Typing, Google Sheets, Math proficiency etc)
- Ability to implement principles of office administration (practices, procedures, etc.).
- Proficient in analyzing and presenting professional information in a clear and readable format.
- Consistently performs math calculations and measurements accurately.
- Demonstrates flexibility, reliability, self\-discipline, and a willingness to take on challenging tasks.
- Strong communication, problem\-solving, and time management skills.
- Upholds high ethical standards and integrity; accepts responsibility for personal decisions and conduct.
- Capable of following complex instructions and independently recognizing and correcting errors.
- Maintains a record free of criminal violations that would prohibit public school employment.
- Proficient in essential office\-related technology at the time of hire.
