Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi\-line phone systems, handle incoming calls with excellent phone etiquette, and route inquiries efficiently
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
  • Perform data entry tasks accurately, including updating records in QuickBooks and other accounting software for bookkeeping purposes
  • Support calendar management by scheduling appointments, meetings, and reminders for staff members
  • Assist with clerical tasks such as proofreading documents, preparing correspondence, and handling mail distribution
  • Provide customer service support by addressing inquiries promptly and professionally, ensuring a positive experience for clients and visitors
  • Qualifications

  • Proven office management or administrative experience with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Experience using QuickBooks or similar bookkeeping software is preferred
  • Excellent typing speed combined with strong attention to detail for proofreading and data entry tasks
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of multi\-line phone systems, phone etiquette, and front desk operations is essential
  • Prior experience as a medical or dental receptionist or personal assistant is a plus but not required
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast\-paced environment
