Job Summary

We are seeking a dynamic and highly organized Executive Assistant / Receptionist to join our team! Responsibilities

  • Greet visitors warmly, manage front desk operations, and ensure a professional first impression.
  • Answer multi\-line phone systems promptly, directing calls efficiently and courteously.
  • Manage calendar appointments, schedule meetings, and coordinate executive calendars with precision.
  • Handle incoming correspondence, emails, and inquiries using strong computer skills and Microsoft Office Suite.
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading.
  • Support bookkeeping activities and assist with basic office management tasks.
  • Provide administrative support including photocopying, faxing, filing, and managing office supplies inventory.
  • Assist with personal tasks or errands as needed to support executive team members.
  • Skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Strong organizational skills with the ability to multitask effectively in a fast\-paced environment.
  • Excellent phone etiquette and customer service skills to foster positive interactions.
  • Experience with multi\-line phone systems, data entry, and clerical duties.
  • Bilingual abilities are a plus for supporting diverse client needs.
  • Knowledge of QuickBooks for bookkeeping tasks is preferred.
  • Demonstrated office management experience coupled with strong time management skills.
  • Computer literacy combined with proofreading abilities to ensure accuracy in all communications.
  • Previous personal assistant or executive support experience is preferred.
