Duties

  • Manage front desk responsibilities, greeting visitors and clients with enthusiasm and professionalism
  • Operate multi\-line phone systems to handle inquiries, direct calls, and provide exceptional customer support
  • Maintain organized filing systems for project documents, contracts, and correspondence
  • Enter data accurately into project management software and QuickBooks for bookkeeping and invoicing purposes
  • Assist with calendar management, scheduling meetings, site visits, and coordinating project timelines
  • Proofread and review documents for accuracy before distribution to ensure clarity and professionalism
  • Support office management tasks such as ordering supplies, maintaining office equipment, and overseeing general administrative functions
  • Requirements

  • Proven experience in office administration or clerical roles within a construction or related industry
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience using QuickBooks or similar bookkeeping software is highly desirable
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Bilingual abilities are a plus to assist diverse client interactions and team communication
  • Exceptional phone etiquette skills with experience managing multi\-line phone systems
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required; relevant office experience is essential
  • Demonstrated ability to handle data entry accurately, perform proofreading diligently, and support customer service needs with professionalism
