Job Summary:
We are seeking a technical hybrid coordinator to assist our Optometry practice with front desk patient management responsibilities and initial patient vision testing and workups. The Technical Office Coordinator role will manage patient appointments, answer inquiries, handle administrative tasks, and provide a positive experience for every patient who walks through our doors. You’ll also play a vital role in supporting our optometrists during patient exams and ensuring smooth office operations. You will assist in preparing and managing patients for eye exams, performing diagnostic tests, and helping maintain a positive and efficient patient experience.
Some Key Responsibilities May Include, but are Not Limited To:
- Patient Check\-In/Check\-Out: Greet patients warmly upon arrival, verify their personal and insurance information, and update their records in our system.
- Check out patients after their appointments and schedule follow\-up visits.
- Appointment Scheduling: Schedule, confirm, and manage appointments for eye exams, consultations, and follow\-up visits. Handle cancellations and reschedules efficiently.
- Perform annual recall each month to engage legacy patients via text, email, or phone
- Phone, Text, and Email Support: Answer incoming calls, respond to patient emails, and assist with appointment inquiries, prescription requests, and general questions about eye care services.
- Insurance Verification: Verify patient insurance coverage and inform patients of any co\-pays, deductibles, or out\-of\-pocket expenses prior to their visit.
- Patient Records Management: Accurately enter and maintain patient information in the electronic health record (EHR) system. Ensure that patient records are up\-to\-date and confidential.
- Billing and Payments: Collect payments from patients at the time of service, process billing inquiries, and assist with insurance claims and authorizations.
- Administrative Support: Assist with office organization, including managing patient flow, coordinating with the clinical team, and maintaining office supplies.
- Optical Retail Support: Help patients with eyewear selection, provide basic frame and lens information, and direct them to the optician or optometrist for further assistance when necessary.
- Office Supply \& Inventory Management: Ensure office supplies, equipment, and optical products are adequately stocked and available. Order supplies and maintain vendor relationships as needed.
- Staff Support: Provide administrative support to the office staff, helping with training, scheduling, and general office tasks. Act as a liaison between the clinical team and patients to ensure smooth communication and operations. Will be required to stand\-in as\-needed for Technicians and other support staff.
- Patient Preparation: Greet patients and take thorough medical histories, including updating vision prescriptions and any relevant health information.
- Diagnostic Testing: Conduct preliminary testing such as, but is not limited to, visual acuity tests, refraction assessments, tonometry (eye pressure), and retinal imaging.
- Pre\-Exam Setup: Assist the optometrist by preparing and setting up equipment for eye exams, ensuring the proper calibration of instruments.
- Eyewear Dispensing: Assist patients in selecting frames and lenses based on their prescription, face shape, and personal style.
- Lens and Frame Fitting: Ensure proper measurements for fitting eyeglasses, adjust frames for optimal comfort, and provide follow\-up care as needed.
- Patient Education: Explain lens options, coating choices, and care instructions for glasses and contacts. Educate patients about eye health, proper lens usage, and cleaning methods.
- Technical Support: Verify prescriptions and measurements, and troubleshoot any issues with eyewear or lenses.
- Record Keeping: Accurately document test results, patient information, and exam notes in the patient’s electronic medical record (EMR) system.
- Equipment Maintenance: Ensure all optometric equipment is adequately maintained, cleaned, and calibrated for optimal performance.
- Insurance Verification \& Billing: Verify patient insurance information, assist with insurance billing, and help process claims when necessary.
- Assisting with Contact Lenses: Help patients with contact lens fittings, teaching proper insertion, removal, and care techniques.
- A high school diploma or equivalent is required; some college or experience in healthcare settings is a plus.
- Bilingual (English/Spanish) is required; fluency in other languages is a plus.
- Previous experience in a medical or dental office, especially in optometry, ophthalmology, or related fields, is highly preferred.
- Knowledge of basic optometric terminology and eye exam procedures.
- Familiarity with diagnostic equipment such as autorefractors, slit lamps, and fundus cameras is a plus.
- Strong verbal and written communication skills and the ability to interact professionally with patients and team members.
- Excellent phone etiquette and strong interpersonal communication skills.
- Basic knowledge of medical office procedures, insurance verification, and patient scheduling.
- Strong organizational skills with attention to detail.
- Ability to multitask in a fast\-paced environment while maintaining a positive and professional demeanor.
- Comfortable using office software, electronic health record (EHR) systems, and essential office equipment (phones, faxes, computers).
- Ability to maintain patient confidentiality and adhere to HIPAA guidelines.
- Experience with scheduling software and billing systems specific to healthcare (e.g., Eyefinity, Ocular Software).
- Knowledge of optical products, eye care services, and common optometry terminology is a plus but not required.
