Overview
This is a hands on executive support role for someone who can help the President stay organized, prepared, and focused on high impact work. You will manage shifting priorities, develop executive level presentations, support leadership meetings, and help move key initiatives forward. This is not a traditional administrative role. It is designed for someone who can anticipate needs, bring structure to ambiguity, and turn high level direction into polished, actionable results.
What you will do
Executive support and calendar management
- Own and manage a complex, fast changing calendar
- Prioritize meetings based on business impact, not just availability
- Ensure the President is prepared with the right context, materials, and follow up items
- Resolve scheduling conflicts and anticipate time constraints before they become issues
- Create high quality PowerPoint presentations for internal and external audiences
- Turn notes, ideas, and rough input into clear, polished, and well structured decks
- Ensure materials reflect leadership messaging, brand standards, and a professional appearance
- Support preparation for board meetings, leadership updates, and business reviews
- Deliver materials quickly, often under tight deadlines
- Serve as a primary point of contact for internal and external stakeholders
- Filter, prioritize, and respond to communications on behalf of the President when appropriate
- Help streamline communication and elevate the most important issues
- Ensure communication is clear, professional, and aligned with leadership priorities
- Support the Senior Leadership Team in driving key initiatives forward
- Bring structure to projects, track progress, and help ensure follow through across teams
- Drive accountability by helping ensure action items are completed
- Organize and support leadership meetings, including agendas, materials, and follow up
- Assist with project coordination and cross functional efforts
- Anticipate needs, risks, and gaps before they become issues
- Bring solutions and recommendations, not just problems
- Adapt quickly in a fast paced environment with shifting priorities
- Stay one step ahead by preparing for what is next, not just reacting to what is in front of you
- Support general office and team needs with a hands on, team first mindset
- Coordinate meals, maintain shared spaces, greet visitors, answer phones, and assist with office support as needed
- Contribute wherever needed and approach all tasks with ownership and professionalism
- Handle highly sensitive information with discretion and sound judgment
- Maintain professionalism in all interactions and communications
- The President is consistently prepared and supported with priorities organized in advance
- Meetings are well planned, productive, and followed through with action
- Communication is filtered, organized, and focused on what matters most
- Priorities move forward without constant direction
- Needs are anticipated before they are voiced
- Executive support is proactive, polished, and reliable
- 5 or more years supporting senior executives, preferably at the C suite or senior leadership level
- Experience in a fast paced, high growth, or operational environment
- Proven ability to manage complex calendars and competing priorities
- Strong judgment, critical thinking, and decision making skills
- Highly organized with strong execution and follow through
- Clear, concise, and professional communication skills
- High level of discretion and confidentiality
- Resilient and effective in a high expectation environment
- Team first mindset with willingness to support both strategic and hands on work
- Flexible and responsive to business needs, including occasional early mornings or evenings
- Experience with NetSuite, Salesforce, or Power BI is a plus
- Experience in industrial, manufacturing, service based, or private equity backed environments is a plus
- Project coordination or operations experience is a plus
- Remote
