Job Summary

We are seeking a Full\-Time Bilingual Administrative Operations Assistant (English/Spanish) to join our team. In this role, you will support daily operations by coordinating administrative tasks, managing communications, and ensuring efficient workflow across multiple teams.

This position requires strong organizational, communication, and problem\-solving skills, along with the ability to maintain accurate records and support operational processes.

Key Responsibilities:

Responsibilities include, but are not limited to:

  • Monitor customer service inquiries until 3:15 PM and ensure all requests and complaints are logged in the company system
  • Communicate with company technicians via email regarding daily equipment requests
  • Review morning alerts and contact day porters to confirm attendance; escalate issues to the Area Manager when needed
  • Distribute daily schedules for Area Managers, Compliance Inspectors, and Regional Managers
  • Review logbooks and calendars for Regional Managers; escalate updates as necessary
  • Compile and send nightly reports, highlighting any missing reports from the previous day
  • Maintain and update recipient lists for nightly reports in the system
  • Generate and distribute daily reports on open work orders and complaints
  • Manage incoming calls and route them to the appropriate personnel
  • Document payroll\-related issues and notify the appropriate parties when Payroll is unavailable
  • Create new building templates in the company system for new accounts
  • Update contact information for day porters as needed
  • Coordinate and organize client\-related events as needed
  • Forward complaints to the appropriate departments
  • Print employee ID cards and QR codes as required
  • Qualifications

    Required

  • Bilingual in English and Spanish
  • Previous administrative or office support experience
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Excellent organizational skills and attention to detail
  • Comfortable using technology, mobile devices, and tablets
  • Preferred

  • Experience in service industries such as janitorial, facilities management, property management, or construction administration
